- Account data: name, email, phone, role, password (hashed by our auth provider).
- Student/learner information: grade, subjects, enrolment, progress, submissions.
- Parent/guardian information: contact details and links to learner accounts.
- Application information: forms, documents, and consent selections.
- Payment proof: uploaded receipts or proof-of-payment files.
- Live session data: attendance, participation, chat messages, and authorized class recordings in TriCore Live.
- Media library activity: secure views, playback progress, and access logs for videos, books, and recordings.
- Learning activity: assignments, quizzes, library resources, bookings, notifications.
- Technical data: device/browser type, IP address (may be hashed for consent logs), cookies.
2. How we use information
We use personal information to:
- Provide tutoring, scheduling, assessments, and campus features.
- Verify applications, payments, and account access.
- Communicate about sessions, payments, and support.
- Improve safety, security, and service quality.
- Comply with legal obligations.
3. Who can access data internally
Access is limited to authorized staff, tutors, and administrators who need the information for their role. Tutors see data for classes and learners they support. Admins manage operations. We do not sell personal information.
4. Class recordings and digital library
When authorized, class recordings may be stored securely via Cloudinary for enrolled learners. Digital books and locked PDFs are delivered through viewer-only access with watermarks and access logging. Viewer-only mode reduces unauthorized sharing but cannot prevent all screenshot or screen-recording attempts.
5. Security measures
We use industry-standard measures including encrypted connections, access controls, row-level security in our database, and private storage for sensitive files. No system is perfectly secure; report concerns promptly.
6. Data retention
We retain information while your account is active and as needed for legal, financial, and academic support records. You may request deletion subject to lawful retention requirements.
7. Your rights (POPIA-aware)
Under South Africa's Protection of Personal Information Act (POPIA) and similar principles, you may request access, correction, or deletion of your personal information, and object to certain processing. We will respond within a reasonable period. This policy does not constitute legal certification or external audit.
